This role is ideal for someone with strong communication skills, attention to detail, and a proactive approach to executive support and coordination in a fast-paced environment.
Position Overview
The Executive Assistant is responsible for ensuring the effective operation of the Office of the Chief Executive. You will manage calendars, coordinate meetings and communications, prepare reports and presentations, and provide strategic and administrative support on key projects and initiatives.
This position requires discretion, strong judgement, and a high level of professionalism when handling sensitive information.
Key Responsibilities
- Manage the daily operations of the CEO and Deputy CEO's office, including calendar, travel, and correspondence
- Coordinate meetings, prepare agendas and minutes, and ensure follow-up on action items
- Draft, proofread, and manage communications on behalf of the Office of the CE
- Support the coordination of board meetings, leadership meetings, and community events
- Monitor progress of organisational projects and assist in the preparation of strategic reports and documents
- Liaise with senior staff, board members, stakeholders, and community representatives
- Maintain confidentiality and support the executive office in a culturally appropriate and respectful manner
To succeed in this role, you will have:
- Proven experience as an Executive Assistant or in a senior administrative role
- Strong organisational, time-management, and problem-solving skills
- Excellent written and verbal communication abilities
- A professional and respectful approach when working with confidential and sensitive matters
- Confidence using Microsoft Office (Word, Excel, Outlook, PowerPoint)
- The ability to build strong relationships across diverse teams and stakeholder groups
- Cultural competence and a commitment to working within an Aboriginal Community Controlled Organisation
- Relevant experience as an Executive Assistant or in Administration
- Current Driver’s Licence
- Satisfactory Working with Children Check and National Police Check
